AI receptionist

An AI receptionist on your own phone numbers

Voxbi AI Receptionist answers your business calls, handles the routine questions and bookings, and passes the call to a colleague when a person should take it. It runs inside your Voxbi phone system, on the numbers you already have. Trying a voice agent is easy. Making it work on real calls is the hard part, so our team sets it up for you.

  • Answers on your existing Voxbi numbers
  • Hands calls to a colleague in the same system
  • Set up and tested by our team
A customer call reaching the Voxbi AI receptionist on the company's own number, which answers, books, takes a message or passes the call to a colleague.

Setting it up is easy. Making it work is hard.

A demo is not your phone line

Most voice agents sound great in a browser test. Then real callers arrive. They interrupt, mumble a postcode, switch from French to Luxembourgish halfway through, and ask about the one shop that closes early on Wednesdays.

The agent needs a phone system behind it

An agent needs a phone number, a SIP trunk, call flows that send it the right calls, and a way to transfer to a person. Build it yourself on an AI platform and all of that is still your job. It is also the part most teams have never done.

Your risk decides how careful you must be

A restaurant can live with a missed booking. A bank, a medical practice or a business with 40 shops cannot. The more a wrong answer costs you, the more testing, documentation and fallback rules the agent needs before it goes live.

The AI fits into the phone system you already run

Everything under the agent

A demo shows the voice. On a real phone line the agent also needs a number, a SIP trunk, call flows, transfers, your calendar and knowledge base, the right languages, and testing on real calls. We set up every layer with you.

A stack diagram: the voice agent is the top layer a demo shows, with phone number, SIP trunk, call flows, transfers, calendar, languages and testing underneath.

Your call flows decide when it answers

The AI receptionist is one more step in a call flow. Put it behind your public holiday and out-of-office schedules, after a few rings on the front desk, or on a second line for one site. Change the rule and the next call follows it.

The knowledge base and transfer rules live in your phone system

The AI answers from a company knowledge base and follows transfer rules set per extension. Both sit in the Voxbi admin next to your call flows, so a change to your hours or services happens in one place.

How it works

  1. You tell us how your calls should go

Which calls the AI takes, what it may answer, when it must hand over and to whom. We collect the opening hours, sites, services and the questions your front desk hears every day.

  2. We build and test it

We write the instructions and the knowledge base, pick the voice and languages, connect your calendar if you need bookings, and test it on calls before any customer hears it.

  3. It goes live on your numbers

The AI answers on an extension in your Voxbi phone system. Your call flows decide when it picks up, for example after hours, over lunch, or when the queue is full.

  4. Calls it cannot finish go to a person

The AI transfers to a colleague or a queue in the same phone system. Every call it takes appears in your Voxbi call history like any other call.

What the AI receptionist does on a call

Answers the routine questions

Opening hours, addresses, services, the questions your team answers twenty times a day. It answers from the knowledge base we build with you.

Books appointments

With your calendar connected, it checks the free slots and books the appointment while the caller is still on the line.

Routes by what the caller says

No press-1 menu. The caller says what they need, and the AI sends the call to the right person or team.

Takes a message

When nobody can take the call, it records the name, the number and the reason, so whoever calls back already knows what it is about. For the calls your team takes, AI call notes write up what was said.

Speaks your callers' languages

French, German, Dutch, English and Luxembourgish. It answers each caller in Luxembourg or Belgium in the language they call in.

Says it is an AI

Every call starts by telling the caller they are talking to an AI, as the EU AI Act requires.

Two ways to get the AI receptionist

How much help you need depends on how much a bad call costs you, and on where you are.

  • With Voxbi Managed

Our team sets up the phone system and the AI receptionist and supports both under a service agreement. In Belgium and Luxembourg this is the only way we offer the AI receptionist. We also recommend it anywhere a wrong answer is expensive, such as several sites, healthcare or finance.

  • With Voxbi One

Outside Belgium and Luxembourg you can add it to Voxbi One. You run the phone system yourself: numbers, extensions and call flows. We set up the AI part for a fixed fee agreed before we start. That covers the instructions, knowledge base, voice, languages and transfer rules.

Build it yourself, or have it set up

AI agent platforms give you the voice and the model. The phone side and the testing stay with you.

What to check before you put an AI on your phones

Who builds the phone side

Ask who provides the number, the SIP trunk and the call flows. An AI platform without them leaves you to connect the pieces, and every missing piece is more work before the first real call.

What happens when the AI is unsure

An AI receptionist has to know when to stop and hand over. Ask to hear a call where it transfers, not only one where it succeeds.

How it handles languages on real calls

A list of supported languages tells you little about a caller who switches language mid-sentence. Test with the languages and accents your callers actually use.

What a minute costs after the free trial

Free minutes make every agent look cheap. Compare the price per minute at the volume you expect, and add the setup.

Frequently asked questions

What does the AI receptionist cost?

You pay for a monthly pack of AI minutes. Flex is €22 for 30 minutes, Starter €57 for 100, Business €247 for 600 and Scale €1,235 for 4,000. A minute beyond the pack costs €0.65 on Flex, €0.52 on Starter, €0.20 on Business and €0.14 on Scale. Setup is a separate fixed fee that we agree with you before we start. Prices exclude VAT.

Can I add it to Voxbi One in Belgium or Luxembourg?

No. In Belgium and Luxembourg the AI receptionist comes with a Voxbi Managed plan, so our team sets up and supports the phone system and the AI together.

Do I keep my phone numbers?

Yes. The AI answers on an extension in your Voxbi phone system, so your numbers stay the same. Your call flows decide which calls reach it.

Will callers know they are talking to an AI?

Yes. It says so at the start of every call, as the EU AI Act requires.

Can it book appointments?

Yes, once we connect it to your calendar. It checks the free slots and books the appointment during the call.

Is anyone using it today?

Yes. It answers calls for customers at several sites in more than one country. Ask us and we will tell you what worked and what we changed after go-live.
