Keep contacts in sync across the PBX, your phones, Microsoft 365, Odoo, and more.

Contact syncing keeps your business address book consistent across every place your team makes and receives calls. When a contact exists in Voxbi, it is available on desk phones, in the Voxbi app on mobile and desktop, and through connected business tools. When an incoming call arrives, the name resolves automatically rather than showing an unfamiliar number. The same contact list that lives in your CRM or directory service stays in sync with what your phone system sees.

Voxbi maintains a central shared contact directory in the Voxbi Cockpit. From there you can create contacts manually, bulk-import them from a spreadsheet, or pull them in from connected systems such as Odoo or Microsoft 365. The Voxbi app on desktop and mobile lets users browse that shared directory, filter by source (for example, contacts held in the PBX versus contacts pulled from Odoo), and call any contact with a single tap.

When you'd use contact syncing

  • A team that uses Odoo as its CRM: customer contacts that live in Odoo automatically appear in the Voxbi app, so agents see the right name on every incoming call and can dial outbound without switching applications.

  • An organisation that manages its user directory in Microsoft 365: enabling the Microsoft 365 contact sync in the Voxbi Cockpit keeps the PBX contact list aligned with the directory, reducing duplicate maintenance.

  • A growing business that is adding staff regularly: bulk importing a spreadsheet of contacts into the shared Voxbi directory makes every number available to the whole team immediately, without each person managing their own address book.

How contact syncing works in Voxbi

  1. Manage the shared directory in the Voxbi Cockpit

    The Contacts section in the Cockpit holds the PBX-wide address book. You can create contacts manually, upload a spreadsheet to import in bulk, search and filter the list, and mark contacts as globally blocked if needed.

  2. Connect an external source

    In the Integrations section, connecting an Odoo or Microsoft 365 account enables automatic sync. Odoo contacts and Microsoft directory contacts flow into the shared directory and are kept up to date as changes happen in the source system.

  3. Access contacts in the Voxbi app

    Users see the shared directory in the Contacts tab of the Voxbi app. They can filter by source (for example, PBX or Odoo), mark frequently-called contacts as favourites, and dial with a single tap.

  4. Let caller identification do the rest

    When a call arrives from a number that matches a contact record, Voxbi resolves the name automatically. The caller's name appears on the desk phone display and in the Voxbi app before the call is even answered.

Frequently asked questions

Which external systems can sync contacts into Voxbi?

The Voxbi Cockpit currently supports contact sync from Odoo CRM and Microsoft 365. Other contacts can be imported by uploading a spreadsheet. For systems not yet covered by a native integration, the Voxbi API provides a way to push contacts programmatically.

Can contacts be restricted so only some teams see them?

Yes. When creating or editing a contact in the Voxbi Cockpit, you can set a restriction so the contact is visible only to specific groups. Contacts without a group restriction are visible to all users, while restricted contacts only appear for members of the specified groups.

What happens to a contact if I delete it in the source CRM?

When a contact is removed from Odoo or Microsoft 365, the sync reflects that removal in Voxbi on the next update cycle. Contacts that were manually created in the Voxbi Cockpit are not affected by changes in external systems.

Can I block calls from a specific contact?

Yes. Each contact record has a caller-blocked toggle. Enabling it blocks all calls to and from that number across the system. Blocked contacts can be found again using the filter in the Contacts list if you need to review or reverse the setting.
